What ships in the box
Thoma is a single Windows installer that gives a small engineering team the capabilities below. No add-on modules to license separately for the core feature set.
Documents
Controlled documents with full version history, check-in / check-out locking, watermarked PDFs, and tokenized header / footer rendering. Excel BOM sync. Audit trails on every read, edit, and approval.
- ✓Per-category number / revision schemes
- ✓Workflow-driven status transitions
- ✓Secure vault with append-only versioning
- ✓Office + SolidWorks add-ins for inline check-in
Bills of materials
Multi-level BOMs that mirror the engineering reality. Where-used at a click. Effectivity dates, alternate-part rules, and revision-aware quantity rollups.
- ✓Indented BOM viewer + flat list export
- ✓Where-used across the entire vault
- ✓Effectivity windows on each line
- ✓Alternate / substitute part flagging
Change requests
Engineering change orders with the affected documents stitched in, approver routing, and an immutable history. Built for shops that have to defend a CMMC audit, not for marketing screenshots.
- ✓Configurable ECR / ECO templates
- ✓Affected-documents list with delta hints
- ✓Approver rotation + delegation
- ✓Locked history once issued
Workflows
Configurable approval flows for documents, parts, and process changes. Workflow steps fire notifications, hold transitions, and write audit rows. No proprietary scripting language — the configuration is plain JSON you can read.
- ✓Drag-to-build flow editor
- ✓Per-step approver groups + escalation
- ✓Email + in-app notifications
- ✓Auditable transition history
Project management
A PLM-grade PM subsystem built into the same vault — stage-gate templates, baselines, schedule + Gantt + Timeline + Calendar + Budget + ROI + Reports + Lessons + Health views, gate reviews, risk register. Not a bolt-on; tasks reference the documents + BOMs + changes they're delivering. See the dedicated page for the full picture.
- ✓Stage-gate templates (NPI, ECO, custom)
- ✓Baselines + schedule variance
- ✓Gate reviews with deliverable checklists
- ✓Earned value (CPI/SPI) + per-user task performance
- ✓MS Project XML export
- ✓Risk register with heat map
AI Assistant
An in-app chatbot that knows your shop — aware of your documents, BOMs, change requests, named workflows, and the Thoma user manual. Ask 'how do I check out a drawing?' or 'what changes are blocking project Aurora?' and get a real answer. Per-org opt-in, off by default, vendor-paid with quotas. Not available on Enterprise tier (CMMC L2 — third-party LLM incompatible with CUI handling).
- ✓Recent-context auto-injection from your live data
- ✓Help-corpus backed answers about Thoma itself
- ✓Conversational or Reference tone (admin pref)
- ✓Per-org enable toggle with privacy disclosure
- ✓Fully audited — every chat session persisted
Add-ins
Check parts in and out from inside SolidWorks. Stamp Word / Excel / PowerPoint headers with current revision and status without leaving the app. Add-ins ship separately and connect to your Thoma server with a user login.
- ✓SolidWorks: assembly batch checkout / checkin
- ✓Office: token-driven header / footer rendering
- ✓Property mapping shared across CAD + Office
- ✓Phase 2: Excel BOM live sync
Publishing
Auto-publish converted artifacts (PDF + STEP + JT + DWG) when a part or document is checked in. Convert with a Publisher Agent on a Windows box, or fall back to in-process LibreOffice for Office formats.
- ✓Multiple output formats per checkin
- ✓Distributed agents with capability filtering
- ✓Retry-on-failure with admin triage
- ✓In-process LibreOffice fallback
Administration
First-boot admin bootstrap, full user management, role-based permissions per category, audit log surface, and self-service license management. The tray icon on the server gives admins service control without RDP gymnastics.
- ✓First-boot setup wizard
- ✓Per-category permission matrices
- ✓AdminAuditLog with email + action filters
- ✓Tray app: service control + license status + auto-update
